Start with clear basic information

The profile contains the name, contact details, date of birth, acquisition source and assigned labels. You can save a preferred contact channel and a default discount. Important remarks go into notes visible to the team members with the right permissions.

Labels help describe a client in the salon’s shared language. Instead of remembering personal shorthand, the team uses the same tags. Separate consent fields organize the available communication channels.

See upcoming and past appointments

The appointments section shows the next appointment, services and staff member. The history groups earlier bookings and their statuses. You can check what was done, when the client last visited and which appointments were canceled or marked as no-show.

You create a new appointment directly from the card. The client’s details are already assigned, so the front desk moves from history to the calendar without searching for the person again.

Keep communication next to the right person

The communication tab collects message threads linked to the client. The team sees the context of reminders, reschedules and replies, instead of searching for the conversation on a staff member’s personal phone.

A counter next to the section draws attention to unread messages. Access depends on enabled communication and the user’s role.

Combine purchases and prepaid funds

If the salon keeps inventory, the card shows the history of purchased products. The gift card module adds vouchers, packages and the client balance. At the next visit the front desk can check the available funds without opening separate notes.

Separate tabs keep things tidy. Information lives in one profile, but does not turn into one long screen. Side navigation leads directly to the part you need.

Attach documents and photos

Signed consents and questionnaires go to the documents tab. Treatment photos have their own gallery, can be linked to an appointment and labeled “before” or “after”. Permissions restrict access to sensitive data.

The activity log shows the history of changes to the client. It helps establish who corrected the data and when, without relying on the team’s memory.

Keep a larger client base in order

The client list supports search, filters, groups and saved sets of criteria. Selected people can be added to a group, tagged with a label or covered by a bulk action. CSV import makes it easier to start with an existing base.

It is worth starting with the data needed for booking and day-to-day service. Further labels, groups and notes should match the salon’s real processes, not create an empty file to be filled in.
